Booking Terms

Booking and Payment

A booking is confirmed once the deposit has been received and written confirmation has been sent by Captain Fantastic.

Entertainers and party dates cannot be held without a deposit.

The remaining balance is paid directly to the entertainer on the day of the party, either in cash or by bank transfer.

If paying by bank transfer, this must be completed before or at the start of the event.

Late payment may result in the entertainer being unable to begin the party until payment has been received.

Rescheduling

Reschedules require at least 7 days notice and are subject to entertainer availability.

Where sufficient notice is provided, the deposit may be moved to one new date within 3 months of the original party date.

If the new date is unavailable, you may choose any available date within the 3 month window.

Cancellation and Refunds

Deposits are non refundable.

Cancellations made within 7 days of the scheduled party date may result in the loss of the deposit.

Cancellations made within 48 hours of the scheduled party time may be charged in full as entertainers, travel time and preparation will already have been arranged.

If you cancel and no further amounts are due, no further payments will be collected.

Illness and Emergencies

If the birthday child becomes unwell, please contact us as soon as possible. Where notice and availability allow, we will offer a reschedule option in line with the Rescheduling section above.

If the entertainer is unwell or cannot attend due to an emergency, we will attempt to provide a replacement entertainer. If a replacement is not available, we will offer a reschedule or refund any deposit paid, at our discretion based on circumstances and payment processing fees.

Weather and Outdoor Events

If your party is planned outdoors, you must have an indoor backup space available in case of poor weather.

If no suitable indoor backup space is available and the party cannot proceed, this will be treated as a cancellation and the Cancellation and Refunds section will apply.

Supervision of Children

A parent or guardian remains responsible for supervising children at all times during the event.

Our entertainers provide structured entertainment but are not responsible for general supervision of children attending the party.

Venue Requirements and Safety

The client must ensure there is a suitable performance space available for the entertainer.

The performance area should be clear of hazards and large enough for children to participate safely.

Please keep pets away from the performance area during the party.

If the entertainer believes the space is not safe, they may pause or adjust activities to maintain safety.

Parking and Access

Any parking costs or access charges required at the venue are the responsibility of the client unless agreed in advance.

Please provide clear access instructions, including gate codes, parking details, and loading guidance where relevant.

Venue Insurance Requests

Some venues require entertainers to provide an Additional Insured Endorsement.

If your venue requires this, please notify us at least 72 hours before the party so it can be arranged.

Damage to Property

Please ensure children do not use props or equipment outside of the entertainer led activities.

We are not responsible for pre existing faults or damage at the venue.Photos and Video

Parents may take photos and videos for personal use. Please be mindful of other families and children who may not wish to be recorded.

Force Majeure

If events outside our control prevent the party from going ahead, we will work with you to reschedule subject to availability.
